COURT SPECIALIST II (05002)

GENERAL
The Alabama Administrative Office of Courts (AOC) is currently accepting applications from qualified individuals to fill vacancies as they occur in the class of Court Specialist II. Applications for this class will be accepted on an ongoing basis.

WORK SETTING
This is responsible, specialized court clerical work in the office of a Circuit or District Clerk in which employees have reached the degree of knowledge and experience necessary to competently perform the complete range of duties and responsibilities of a technical division or divisions of court. Employees in this class perform case management activities such as tracking cases, setting dockets, scheduling hearings and notifying parties and are involved in case intake, processing, and disposal including receipting monies, etc. Personnel in this class should be viewed as employees in whom the training period is complete and who can assume new duties and responsibilities with little or no assistance or guidance. Employees receive only general supervision and direction but may refer technical or procedural questions to a supervisor for decision.  

TYPICAL DUTIES

  • Receipts court ordered money ensuring payment amounts are correct and directed to the appropriate party. Computes fees, court costs, fines, child support, garnishments, judgments, etc.; posts payments to fee sheet and/or cashbook manually or on computer. 
  • Prepares documents and attends court, pulls files and case action summary sheets, assists judge with documents and makes notations of orders on case action summary sheet. Maintains records on judge's orders regarding payment.  
  • Manages scheduling and tracking of cases and preparing and distributing dockets. 
  • Provides information to attorneys, judges, and law enforcement officers. 
  • Responds to orders issued by judge; reads, interprets, reviews for errors and completeness before processing. 
  • Notifies all parties of court actions, orders, hearing and trial dates, etc. Issues aliases, subpoenas, transcripts, warrants, writs of arrest, garnishments, bond forfeitures, etc. Processes complaints, garnishments, subpoenas, executions and evictions.  
  • In-takes circuit and/or district court cases involving reviewing all original legal documents for completeness and compliance with court procedures, posting to case action summary sheets, accepting and receipting filing fees and posting to fee sheets, etc.; in-takes motions, pleadings, and answers which involves reading the documents to determine what action is required, the type of service needed, whether it is to be set for hearing or be sent directly to the judge, etc. 
  • Prepares and distributes dockets.  
  • Performs post disposition duties such as computing court costs, issuing executions and garnishments, etc. 
  • Performs courtroom duties such as calling the docket, taking notes and filing papers during proceedings, taking fines and assisting the judge with case files; preparing juror strike list and master list, giving juror orientation, coordinating juror needs for term of court. 
  • In-takes criminal cases and processes cases through disposition including docketing, indexing, issuing capiases on defendants who have not been arrested or who have insufficient bonds; issues sci fas and alias warrants on defendants who do not show for court and forfeit their bonds, computes jail time and prepares jail transcripts, etc.  
  • Issues arrest warrants in less complex misdemeanor and felony cases involving discussing charges with law enforcement officers and citizens and determining the existence of probable cause, referring more complex warrants to higher level personnel.

  • Processes appeals including typing notices to parties and preparing transcripts, and transmitting them to the appropriate appellate court in compliance with the time frames as provided in the Alabama Rules of Appellate Procedures.  

REQUIRED KNOWLEDGE AND/OR SKILLS

  • Knowledge of business English and spelling to permit the preparation and review of correspondence and documents.  
  • Knowledge of legal procedures and jurisdiction including local court procedures. 
  • Knowledge of filing techniques to include alphabetical, numerical, chronological, and color systems as needed to maintain and locate court materials. 
  • Knowledge of legal terminology, to permit understanding of legal documents and researching legal issues.  
  • Knowledge of fees, court costs, and disbursement system in order to accurately collect and disburse monies. 
  • Knowledge of caseflow and information management systems. 
  • Skill in operating standard office equipment such as typewriter, calculator, electronic cash register, copier, personal computer, and facsimile machine.  
  • Ability to read, write, and understand English in order to process court documents and compose orders from written notes. 
  • Ability to perform general mathematical computations and work with decimals and percentages in order to accomplish bookkeeping and computational functions.  
  • Ability to communicate (talk and listen) effectively with a wide range of people such as the general public, other court system employees, attorneys, judges, secretaries, and law enforcement officers.  
  • Ability to exercise tact, diplomacy, and maintain confidentiality in dealing with others in routine and special situations to ensure smooth and efficient operation of the office as well as to present a positive image to public.  
MINIMUM QUALIFICATIONS
Graduation from a standard senior high school or possession of a GED equivalency, and a passing score on the Court Specialist II examination. A Court Specialist I must have completed their probationary period as a Court Specialist I on the first day of the test month. All other applicants must have at least two years of qualifying experience in an attorney’s, judge’s, or sheriff’s office and approval of the Administrative Director of Courts.
